Payroll, HR Administrator and Office Coordinator (m/f/d)

WHAT YOU WILL DO:

General

  • Supporting accounting and HR functions as well as providing general office management and coordination
  • Interact frequently with the management team, those working in production and visitors
  • Maintaining confidentiality, discretion and representing the company professionally

Payroll

  • Process bi-weekly payroll (using RISE Payroll App) for hourly & salaried employees
  • Prepare and maintain payroll records, T4 statements, ROE’s
  • Respond to employees’ pay inquiries and payroll adjustments (i.e.// missed hours, retroactive pay etc.)
  • Remain up-to-date in all payroll and benefit issues/entitlements relevant to company policies and government legislation; assist in policy and procedure amendments as required

HR Administration

  • Assist in employee on-boarding/off-boarding activities and maintain employee profiles
  • Process monthly attendance records as necessary
  • Support WCB claims and reconciliation
  • Administration of group benefits plan which includes: enrollment, changes, terminations, calculating payroll deductions/taxable benefits, billing verification and payroll reconciliation
  • Maintain the highest level of confidentiality with all records and reports

Office Administration

  • Supports the development of administrative policies, procedures and guidelines
  • Maintains shared content repository such as: general office policies and procedures, mail/phone directories, organization charts, traveler profile information
  • Supports accounting functions such as AP/AR
  • Manages incoming/outgoing mail, general correspondence & courier activities
  • Manages supplies, cleaning materials, company supplied items (coffee, fruit etc.)
  • Ensures that all meeting rooms and common areas are well maintained and equipped for regular meetings and visitors
  • As part of the social committee, coordinates the preparation of company events and functions such as BBQs, parties, recognition events, town hall meetings and recommends events that improve communication and cooperation
  • Responsible for the company’s catering needs
  • Other administrative duties as assigned

  • Excellent communication, problem solving and organizational skills and ability to manage multiple tasks and prioritize activities
  • First-rate interpersonal skills and comfortable interacting with diverse groups
  • Works well independently and as part of a team
  • Enjoys planning events
  • Interest in office administration including payroll, benefits, HR, basic accounting
  • Grasps new software and business applications
  • Works well under deadline pressure with minimal supervision
  • Strong analytical skills and attention to detail
  • Exercises a high level of professionalism and discretion with confidential information
  • Proficient with Microsoft Office 365 (Outlook, Excel, Word, PowerPoint, Teams, SharePoint) and Microsoft Dynamics 365 ERP Platform or an equivalent ERP Platform
  • Embraces change and interested in continuous improvements

Experience

  • Minimum 2 years of experience in Payroll, Benefits, HR and Office Administration
  • Solid understanding of Federal and Provincial Payroll legislations
  • Experience working with RISE People Payroll is an asset

Education

  • Post-secondary education in Accounting, HR Business Administration
  • Payroll Compliance Practitioner (PCP) designation is an asset
  • Fluency in English, both written and oral
